This policy explains what personal data Auditmark collects, why, and what your rights are. It covers two things: this website (auditmark.io) and the Auditmark platform, the inspection service that customers sign in to. If your organization uses Auditmark and you interact with it as an inspector, a portal viewer, or a guest, most of your data is controlled by that organization; the section on customer content explains how that works.
The website is a static site. It sets no non-essential cookies unless you allow them, and collects personal data in one place: the contact form.
Cookies and local storage fall into three groups on this website. Only the first is set automatically.
auditmark-consent, and the bot protection on the contact form.Analytics and marketing are off until you turn them on, and nothing in those groups loads before you do. Any provider we use for them is named on the subprocessor page.
You can change or withdraw your choice at any time through Cookie preferences in the footer of every page. Withdrawing is as easy as consenting, and takes effect immediately. Clearing your browser's site data also clears the record, after which you will be asked again.
The Auditmark platform, which customers sign in to, uses its own strictly necessary cookies to keep you signed in and secure your session. Those are separate from this website.
When your organization uses the platform, Auditmark processes:
Auditmark uses personal data to provide and secure the service, to respond when you get in touch, to send service messages such as assignment notifications and report deliveries, and to meet legal obligations. Auditmark does not sell personal data and does not use it for third-party advertising.
Inspection data belongs to the organization that created it. That organization decides who can see it, how long it is kept, and when it is deleted; Auditmark processes it on the organization's instructions. If you are a portal viewer or a guest resolving a finding, the inspection company that invited you is responsible for that data, and requests about it should go to them first. Every organization's data is isolated from every other organization's.
AI features (such as form building from files and photo data extraction) are enabled per organization. When an organization uses them, the relevant content is sent to the AI provider to produce the result, and it is not used to train AI models. Organizations that do not enable AI features send nothing to AI providers.
Auditmark shares personal data only with the service providers needed to run the product, under contracts that limit what they can do with it:

Contact-form messages are kept as long as needed to handle your inquiry and the relationship that follows. Platform data is kept while the organization's account is active and deleted or returned when the account closes, subject to short backup windows and legal retention duties.
Data is encrypted in transit, access is scoped per organization at the database layer, and administrative access is limited and logged. No system is perfectly secure, but security is a design constraint in Auditmark, not an afterthought.
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal data, and to object to or restrict some processing. To exercise a right, email hello@auditmark.io. If your data lives inside a customer's organization, Auditmark will route the request to that organization or help them answer it. You can also complain to your local data-protection authority.
Auditmark is a workplace tool and is not directed at children. Auditmark does not knowingly collect data from anyone under 16.
When this policy changes, the date at the top changes with it, and material changes are announced to affected users. Continued use of the site or service after a change means the updated policy applies.
